🛠 Tool tracking for small crews

Who has your tools?
Now it's on the record.

Hand a drill, a laptop or a meter to someone — and they confirm receipt in the app. See who has what, what came back, and what is still out. From your phone, on site, signal or no signal.

Tools don't vanish. Nobody wrote down who took them

  • "I think Mike has it." The one tool you need today, and twenty minutes of phone calls to find out whose truck it is in.
  • Someone leaves the crew and what was issued to them leaves with the memory of it. No list, nothing to ask for back.
  • "It was like that when I got it." Without a record of what was handed over and when, it is one person's word against another's — and the business usually eats it.

A spreadsheet in a shared drive is the usual answer, and it fails in the same place every time: nobody updates it standing in the rain with gloves on. What survives on a job site is something that takes one tap on a phone.

Four steps, once per tool

  1. Log the toolPhotograph it or scan its barcode and the AI fills in the name, category and description. Mark it as equipment — one tracked unit rather than a quantity — and attach the serial number, the invoice and the warranty.
  2. Hand it overPick the person from your team members (or type a name in a personal warehouse), add a note, and the tool is now recorded as held by them, with the date.
  3. They confirm receiptWhoever holds it sees a Confirm receipt button, and only they can tap it. One more tap sends them a WhatsApp summary of the handover, so both sides have a copy.
  4. Mark it returnedThe tool goes back to the business and the return is written to the activity log with the date and who did it. You keep the whole round trip, not just today's status.
What you get

A tool ledger that lives in your pocket

No setup, no desktop, no training day.

Who holds what

Every tool is with the business, lent or taken — with a holder, a note and a date. One filter shows everything currently out.

Receipt confirmed by the holder

Only the person marked as holding the tool can confirm they got it. The handover stops being "I told him" and becomes a record.

WhatsApp handover summary

One tap sends what was handed over, the serial number and the date — a copy for them, a copy for you.

Full activity log

Every change is logged: what changed, who changed it, when. When you need to know what happened to a tool, there is an answer.

Serials, invoices, warranties

Serial number, receipt, warranty document and purchase date attached to the tool — and findable in seconds when something breaks.

Works with no signal

Job site, basement, cold room — record it offline. Data and photos sync to the cloud when the connection returns.

Paper wins exactly one row, and it is the row a phone app has to earn back: speed in the hand. That is why logging a tool is a photo and a tap, and why a handover is picking a name from a list rather than filling in a form.

What it doesn't do

  • The crew sharing a list is a paid feature. Up to 10 team members with permissions is part of the Business plan; the free plan tracks tools from one phone.
  • It is not a signed legal form. Confirm receipt plus the WhatsApp summary is a strong record of what was handed over and when — not a witnessed signature.
  • No due-date reminders yet. You can see everything that is out at a glance, but the app will not chase a return date for you.
  • No GPS or Bluetooth tags. This tracks accountability — who a tool was given to — not a live location on a map.

Questions

How do I keep track of which employee has which tool?
Mark the tool as lent or taken and pick the person holding it, with a note and a date. In a business warehouse you choose from your team members instead of typing a name. From then on the item card shows who has it, and one filter shows you everything that is currently out.
Does the worker have to confirm they received the tool?
They can. Whoever is marked as the holder sees a Confirm receipt button in the app, and only that person can tap it. You can also send them a one-tap WhatsApp handover summary listing what was handed over, the serial number and the date, so both sides keep a copy. It is a record of what was handed over and when, not a legally signed form.
Does it work on a job site with no signal?
Yes. Adding, editing and counting all work offline — everything is stored on the device and syncs to the cloud when the connection comes back, including photos taken while offline. That was built for basements, job sites and cold rooms, not as an afterthought.
Can my crew see the same list?
Shared warehouses are part of the paid Business plan, which allows up to 10 team members with permissions in a shared business warehouse. The free plan is single-device: you can track tools yourself, but you cannot invite the crew.
Can I track consumables and tools in the same app?
Yes, and that is the difference. Each item is either stock, tracked by quantity, or equipment, a single unit tracked by who holds it. So screws by the box and one specific drill live in the same app instead of two systems.
Is it free?
Free for up to 60 items, 40 documents and 3 AI scans a month, with no credit card. The Business plan adds 2,500 items, up to 10 team members, stocktakes with a variance report, supplier ordering reports and CSV and PDF export. Prices are shown in your local currency inside the app before you confirm anything.
