The list exists. It lives in one person's head

  • Someone leaves and nobody can say what was issued to them, so nothing gets collected and nothing gets replaced on time.
  • A tool moves between two people without passing through the office, and the record — if there was one — is now wrong.
  • Something breaks under warranty and the serial number and invoice are in a drawer, a photo roll, or nowhere.

A signed paper form fixes the first ten minutes and nothing after that: it records one handover and cannot answer "where is it now". What survives is a record that updates in one tap, from the phone already in the person's hand.

Four steps, once per item

  1. Log the equipmentPhotograph it or scan its barcode and the AI fills in name, category and description. Mark it as equipment — one tracked unit, not a quantity — and attach the serial number, the invoice and the warranty document.
  2. Assign it to a personPick the employee from your team members, add a note, and the item is recorded as held by them with the date. In a personal warehouse you can simply type the name instead.
  3. They confirm receiptOnly the person marked as holding it can tap Confirm receipt. One more tap sends them a WhatsApp summary of the handover, so both sides have the same record.
  4. Collect and mark it returnedThe item goes back to the business and the return is written to the activity log with the date and who did it — so you keep the round trip, not just today's status.

Team members are chosen from a list rather than typed, so "D. Cohen" and "Dani" never become two people in your records.

Only the assignee can confirm. The handover stops being "I told him" and becomes something both sides agreed to.

Every assignment, edit and return is logged with who did it and when — the paper trail a signed form never keeps updating.

Works with no signal

Assign on site, in a basement or a cold room. Data and photos sync when the connection returns.

What it doesn't do

  • Team sharing is a paid feature. Up to 10 members with permissions is part of Business; the free plan tracks assignments from one phone.
  • It is not a signed legal form. Confirm receipt plus the WhatsApp summary is a strong record — not a witnessed signature.
  • No due-date reminders yet. You can see everything that is out at a glance, but the app will not chase a return date for you.
  • No GPS or Bluetooth tags. This records who a piece of equipment was given to, not where it physically is.

Questions

How do I track which employee has which piece of equipment?
Mark the item as lent or taken and pick the employee holding it, with a note and a date. In a business warehouse you choose from your team members rather than typing a name, so the record stays consistent. One filter then shows everything that is currently out and who has it.
Does the employee confirm they received it?
Yes. Whoever is marked as the holder sees a Confirm receipt button in the app, and only that person can tap it. You can also send a one-tap WhatsApp handover summary with the item, its serial number and the date, so both sides keep a copy. It is a clear record of what was handed over and when, not a witnessed signature.
What happens when an employee leaves?
Filter to everything assigned to that person and you have the return list in seconds, with the date each item was handed over. Marking each item returned writes the return to the activity log, so the round trip stays on record after they are gone.
How many employees can share the inventory?
Up to 10 team members with permissions in a shared business warehouse, on the paid Business plan. The free plan is single-device: you can track assignments yourself, but you cannot invite the team.
Does it work without an internet connection?
Yes. Assigning, editing and counting all work offline, and everything syncs to the cloud when the connection returns, including photos taken while offline.
